Job Summary AECOM has an exciting opportunity as a Executive Assistant in Afghanistan on the MOSC-A contract. Provides executive level administrative support by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. Coordinates the scheduling and preparation for various meetings. This includes preparation of meeting agendas and read-ahead packets and final preparation and distribution of minutes and action items. Creates, reviews, and edits correspondence prior to release for submission for signatures or other disposition. Opens, sorts, routes and delivers incoming correspondence and messages. Prepares reviews, edits and delivers recurring reports and outgoing correspondence. Handles telephone and email inquiries and responds as appropriate. Maintains suspense log for actionable correspondence to ensure the executive’s awareness of suspense requirements. Coordinates actions to ensure conditions are set to meet required suspense. Greets visitors and determined whether they should be given access to executives. Manages and maintains executives’ calendars. Make travel arrangements for executives. Prepares and maintains functional files according to ARMIS. Coordinates activities related to company property (i.e., primary key custodian and primary office supply custodian/hand receipt holder). Coordinates routine and repair maintenance for office machines and equipment. Prepares work orders for repair and servicing. Maintains consumable office supply approved stock levels and ensures ordering of supplies to meet demands in timely manner. Trains and supervises lower-level clerical staff as required. Performs other related tasks as directed.
Minimum Requirements
High School diploma or equivalent required.
5 -8 years of progressively more responsible secretarial and administrative work experience required.
Must be able to obtain a Security Clearance prior to start date.
Must have knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
Must have a high level of understanding of office procedures.
Must have a general understanding of military and government contracting terminology.
Must have general understanding of basic business practices.
Must have general understanding of basic accounting principles.
Must be able to manage one’s own time and the time of others.
Must exhibit superb attention to detail and a tolerance for working on multiple tasks simultaneously.
Must be able to demonstrate ability to take initiative, multi-task and work well under pressure.
Must have excellent organizational and planning skills, so that workflow is managed efficiently and accurately.
Must have excellent interpersonal skills, with the ability to interact with all levels of workers, and external high-ranking officials.
Must be able to handle confidential company and employee information with complete discretion.
Must be able to function with an advanced level of English oral and written language skills, through demonstrated proficiency, testing or both.
Must have excellent knowledge of English grammar, spelling and punctuation and basic math.
Must have a collaborative work style, fostering cooperation, and teamwork.
Must exercise discretion and good sound judgment.
Must have high level of proficiency in the use of MS Office, including Word, PowerPoint, Excel, Outlook and other related applications.
Driver’s license may be required.
Preferred Qualifications
Bachelor’s Degree preferred.
US Army 42A preferred.
Prior work for top level executive or official within the US military or government preferred.
Previous office management experience preferred.
