(AFG-KABUL) Synchronized Pre-deployment Operational Tracker & Reports Administrator
Job Summary
Synchronized Pre-deployment Operational Tracker (SPOT) and Reports Administrator will manage and capture the movement and location of employees, security clearance and weapon certificate, as well as edit and submit all contract deliverable requirements list (CDRL) reports to the United States Government (USG).
Principal Accountabilities
Maintaining individual SPOT requirements for employees to include, but are not limited to: Three part medical forms, Security clearances, SPOT Forms, In and Out Processing (IOP) Forms and weapon certifications (if applicable).
Enters new personnel into SPOT and requests Letters of Authorization (LOAs).
Coordinates SPOT entries with Department of Defense (DoD) SPOT Administrator.
Coordinates all Armed Contractor Oversight Directorate (ACOD) Arming Letters for all armed personnel on the contract.
Coordinates all Weapons Authorization permits.
Daily updating SPOT, LOAs, and Common Access Card (CAC) of employees, as applicable.
Termination of LOAs, as applicable.
Tracks vacation and transferring personnel to maintain current location in SPOT.
Enters individual weapon information into SPOT.
Coordinates with Deployment Coordinator, upon receipt of LOA and CAC for new hire employees.
Coordinates with various Managers and Supervisors to ensure timely collection and distribution of daily, weekly, monthly and quarterly reports that include CDRLs.
Edits all CDRL reports for grammar and formatting.
Schedules and tracks all in-country US and Third Country National (TCN) physicals.
Performs administrative duties such as typing, mailing, filing, faxing and distributing correspondence.
Provides guidance on the completion of Arming Packets, Exceptions to Policy and other associated paperwork to ensure the arming of contract employees for self-protection
Coordinates/performs submission of Arming Packets and Exceptions to Policy (ETP) into the Contractor Arming Authority Management System (CAAMS)
Develops and maintains local database of personnel and their progress within CAAMS and maintains records ensuring the accurate status of all armed employees for assigned program
Serves as the primary POC between the PMO and ACOD
Coordinates with department heads to ensure all personnel are adhering to the policies and procedures set forth by ACOD
Coordinates with USG representatives to obtain signature of Exception to Policy (ETP).
Develops and submits all required Monthly and Quarterly Arming Status Reports
Perform other qualified duties as assigned
Knowledge & Skills
- Demonstrates proficiency in Microsoft applications (i.e. Word, Excel)
- Types 50-60 words per minute
- Operates office machinery such as fax and copier machines.
- Works independently with good decision-making skills.
- Interacts professionally with all levels of employees and customers.
- Must have excellent writing skills and have the ability to amalgamate inputs from multiple sources into coherent, logical, and succinct reports.
- Knowledge and understanding of ACOD policy and procedure. Knowledge and understanding of CAAMS.
- Strong verbal and written communication skills, computer/digital media skills to include experience using the most-up-to-date computer/software systems and applications, i.e. Microsoft Office Suite with demonstrated expertise using Excel.
- Strong organizational skills are required.
- Knowledge of DI and U.S. Military weapons policies and procedures including: AR-190-11 “Physical Security of Arms, Ammunition, and Explosives”; DOD 5100.76-M Physical Security of Sensitive Conventional Arms, Ammunition & Explosives”; the Federal Acquisition Regulation (FAR) as they pertain to Arms and Ammunition; and ITAR regulations.
- Must be able to obtain Department of Defense NAC-I Clearance.
- Must maintain a current US Passport
Experience & Education
- High school diploma or equivalent.
- College degree preferred.
- Two (2) years in the clerical field preferably as an administrative assistant.
- Must have some previous experience writing reports.
- Experience in professional development in regards to training and working with Middle Eastern or Asian cultures is desired.
- Prefer individuals with joint and combatant level assignments
Physical Requirements/Working Environment
- Must pass all medical and fitness requirements directed by US Central Command (CENTCOM) in order to deploy
- Must be able to operate in harsh and austere conditions of Afghanistan
Travel
- Ability to travel domestically and internationally
