Administrative Services Coordinator - Military Family Clinic - Metrocare Services - Addison, TX





With a multidisciplinary team of psychiatrists, psychologists, licensed clinical social workers, licensed chemical dependency counselor, case managers, and veteran outreach workers, the clinic offers high-quality, evidence-based, and personalized outpatient mental health treatment tailored to meet the specific needs of veterans, particularly those from the Iraq and Afghanistan wars, and their families. The Steven A Cohen Military Family Clinic (MFC) at Metrocare is part of the Cohen Veterans Network, a national nonprofit (501c3) network of clinics.

Under the general direction of the Business Office Manager, the Administrative Services Coordinator is responsible for greeting and checking-in clients, notifying clinicians of client arrival, scheduling patients’ future appointments, organizing daily patient schedules, answering phone, triaging inquiries to appropriate locations, and facilitating clinician and patient administrative needs. Duties will eventually include preparation of billing information for billing services and obtaining and documenting insurance pre-authorizations and pre-certifications.


Responsibilities:


  • Operates the main switchboard at the MFC by routing incoming, outgoing and long distance calls. Cross-train support staff on switchboard coverage and mail operations.

  • Serves as the receptionist for the MFC, greeting and appropriately directing visitors and staff.

  • Serves as primary back-up for MFC staff in taking and distributing messages as needed.

  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

  • Maintains current information on all MFC services to assist Veterans and family members, staff, and the general public in accessing the MFC.

  • Serves as back-up to administrative support staff performing tasks such as faxing, preparing documentation for distribution internally or externally, copying, and meeting preparation.

  • Serves as mail clerk for the MFC in the sorting and distribution of incoming mail, posting of outgoing mail, and daily mail pick-up and drop-off. Serve as the primary contact for external courier service.

  • Retrieves, sorts, and distributes faxes to appropriate staff.

  • Maintains daily log of accounts receivable and consumer checks mailed to MFC.

  • Supervises shredding requirement and provide training and support to staff as needed.

  • Oversee functions of the day shift cleaning patrol

  • Assist with insurance coding and claims processing.

  • Handle sensitive information with the highest degree of integrity and confidentiality in accordance with HIPAA guidelines.

Qualifications:
EDUCATION AND EXPERIENCE:

  • High School Diploma and p rior experience within the military community and/or Veteran Administrative organizations

  • Experience in medical or behavioral health settings preferred.

  • Bilingual English/Spanish is preferred

  • Must be highly organized, detail oriented, and reliable.

  • Excellent written and verbal communication skills

  • Possess the ability to handle high volume telephone calls.

  • Must be punctual and present a professional image.
