Responsibilities:
OBXtek is searching for a Program Assistant for Afghanistan for the U.S. Department of State Bureau of Near Eastern Affairs (NEA) which deals with U.S. foreign policy and U.S. diplomatic relations with many countries in the Middle East. The position is located in Washington, DC.
JOB DESCRIPTION:
The duties for the Program Assistant will include but not be limited to the following:
- Provides customer support to a block of individuals deploying to Afghanistan. This involves phone, E-mail, and direct communication with employees from initial assignment notification until their arrival at post.
- Assists traveler with deployment requirements and liaison with supporting offices within DoS to include:
- Sending welcome letters to employees
- Assist traveler with Visa application
- Assist traveler with Passport (when necessary)
- Verifying medical & security clearances
- Verifying and assisting with travel arrangements
- Enroll employee in mandatory training
- Obtain country clearances (when necessary)
- Ensure traveler has travel orders
- Process Common Access Cards (CAC) application
- Enters travelers’ data into OIPs shared database.
- Maintains an electronic personnel file for each traveler.
- Prepares travel orders and voucher preparation using the E2 Solutions travel arranger system.
- Assists walk-in customers in a professional manner.
- Arranges in-processing appointments.
- Conducts in-processing orientation and ensures the employee has all deployment documents completed.
Qualifications:
Must be US Citizen and be able to obtain and retain a US DoD Secret Clearance.
Education and Experience Requirements:
- Bachelor’s Degree; professional work experience may be substituted for this educational requirement
- Familiarity with Department of State operations and overall office management experience.
- Ability to work under pressure and tight or short deadlines.
- Working knowledge of personal computers and general administrative practices.
