General Services Assistant [Top Secret Clearance]


PAE is currently seeking a General Services Assistant to support the Administrative Director, Kandahar Provincial Reconstruction Team, and will be based in Kandahar. This candidate will report to Embassy Project Manager, and will work in a military field office setting with additional duties on and around an active military base with exposure to the dangers inherent with such sites..


The General Services Assistant will:



  • Assist the Administrative Director by providing a full range of administrative and clerical support services including, but not limited to, housing management, vehicle management, facility management, supply management, procurement / contract administration etc., for the assigned Management Team.




  • Provide backup support to the Director when the Office Manager is on leave.




  • Assist with all personnel administrative duties to include:




  • Housing Management:




  • Keep track of incoming/outgoing personnel on an excel spreadsheet and prepare vacated Container Housing Units (CHU) for new occupants;




  • Control room keys using key sign in / out sheets and key control box;




  • Maintain CHU furniture inventory sheets;




  • Perform end-of-tour inspections and report major discrepancies to Management Staff;




  • Move furniture between CHUs;




  • Assign CHUs to transient and permanent employees;




  • Maintain linen / blanket inventory for transients;




  • Deliver dirty laundry from vacated CHUs to laundry facility and vice versa.




  • Vehicle (Gators) Management:




  • Perform visual inspection daily.




  • Schedule routine maintenance on gators through the military Motor Pool.




  • Maintain monthly vehicle maintenance record.




  • Initiate maintenance actions as necessary.




  • Order repair and spare parts through GSO Kabul Motor Pool Section.




  • Facilities (Office/CHU) Management:




  • Initiate and keep log of maintenance requests submitted by the KPRT customers.




  • Submit maintenance work requests and follow up until completion. The job order includes a wide range of work requirements including, but not limited to, carpentry, A/C maintenance, etc.




  • Escort the maintenance contractors to work site.




  • Schedule and clean office buildings utilizing contract employees.




  • Supply Management:




  • Receive, store and issue expendable supplies to customers as required.




  • Maintain accurate inventory sheets to prevent zero balance of stocks on hand.




  • Maintain 45-day of supply (i.e. toner cartridges) to ensure no disruption in continual operation of KPRT mission.




  • Procurement/Contract Management:




  • Place an order for expendable supplies that cannot be obtained through Mayor Cell.




  • Review, verify and sign the monthly invoice from the janitorial contractor and send the approved invoice to Kabul FMO Voucher.




  • Submit request to exercise option year or recomplete janitorial contract in place to Kabul GSO Procurement during the month of November each year




  • Perform other duties as assigned.




  • This position works ten hours/day, six days a week minimum.




  • Be available for overtime work on Fridays should there be a mission need.




  • Periodic travel with extended overnight stays may be required in other locations in Afghanistan. Percentage of travel will vary significantly but on average is expected to be less than 10% of the total time.



The General Services Assistant must have following qualifications and experience to qualify for this position:



  • A High school diploma or GED required.




  • A college degree may be substituted for work experience requirements.




  • Must be at least 21 years of age or older.




  • At least 3 years of experience in general services and/or administrative work is required.




  • Must have good customer-oriented service skills.




  • Must be proficient in using Microsoft Office programs to include Word and Excel.




  • Must be able to lift up to 70 pounds.




  • Must have good organizational and communication skills (both verbal and written) and the ability to exercise sound judgment and make decisions independently.




  • Knowledge in the discipline of operations and maintenance projects in an international environment preferred.




  • Ability to work effectively with multi-cultural workforce.




  • Previous work experience in an austere OCONUS environment preferred.




  • Citizenship: US Citizenship is required for this position.




  • Clearance: Must have an active Top Secret security clearance.




  • Must be willing to travel periodically (with extended overnight stays) as required while working on projects at other locations in Afghanistan.
