Administrative & Finance Officer - Women for Afghan Women - Fresh Meadows, NY






Reports to: Finance Controller


Under the supervision of the financial controller, the admin/finance officer is responsible for the following:


FINANCE


  • Record and prepare monthly financial reports specific to New York Community Center, WAW New York Headquarters and WAW Washington DC offices. This also involves reconciliation of bank accounts, preparing monthly expenditure files;

  • Manage accounts payable to vendors specific to WAW US operations, including payment for health insurance, payroll, overhead costs, and any other approved payments. This also includes preparing the relevant documentation and obtaining approval from the authorized personnel;

  • Communicate with US based development team to ensure all grants/awards for WAW’s US operations are properly numbered and expenses are charged against those projects in WAW’s US financial books;

  • Generate and prepare special purpose financial reports for submission to donors, including projects that are specific to the US;

  • Record monthly/quarter/ and annual receivable/payable dues between WAW Kabul Main Office and WAW New York HQ. Communicate with WAW’s designated cash management officer in Kabul to ensure flow of funds between the two locations for the smooth operation of WAW programs across its locations;

  • Assist the financial controller with quarterly, bi-annual and annual consolidation of financial records that include US and Afghanistan specific financial statements. These statements could be shared with donors, board, and WAW management team;

  • Assist with preparation of annual A-133 audits, project audits (for US or Afghanistan Projects), special visits, special audits and assessments;

  • Take part in budget preparations for any WAW locations – including but not limited to cost-centers in Afghanistan;

  • Take part in fundraising discussions and budget preparations in support of WAW programs. This includes annual galas, walkathons etc. The activity should, whenever possible, be limited to the financial and administrative aspect of any such events;

ADMINISTRATION


  • Manage New York, Washington DC procurement activities;

  • Maintain staff personnel files, and manage WAW US Human Resources Information System (currently through ZENEFITS);

  • Help the financial controller with fulfilling the compliance requirements of WAW in the US. This includes but is not limited to obtaining relevant tax status, responding to government inquiries, filling out special forms, extensions, and filing forms such as 990 and 1099, etc;

  • Help with the maintenance of WAW US IT infrastructure including. This category of tasks include, but is not limited to, maintaining the cloud based shared folder accounts, communicating with external IT companies for continued IT support services, repair of hardware, and procurement of anti-virus, firewall or any other security software/hardware to keep the integrity of WAW data and information;

  • Provide booking and logistical services to WAW US personnel. This includes booking flights, obtaining visas for visitors to Afghanistan, and any other tasks that related to travel of US WAW personnel or visitors to Afghanistan as well as WAW Afghanistan personnel visits to the US;

  • Any other tasks assigned by the financial controller, the Executive Director or her designee.

  • Accounting, Finance and/or Administration: 3 years
